Documents vs Attachments

Image #1

Shortly, we'll be announcing that we've split documents into two types, documents and attachments. What's the difference?

Documents - will remain available as they are today in Intelligence > Documents. In this section, you can create folders, and upload documents into the folders.

Attachments - are uploads you make against an incident, exercise, member, qualification, or item of equipment, etc. they are files 'attached' to the item. They appear in context, on the item's page, or in its sidebar. They will no longer appear within Intelligence > Documents.

Why have we done this?

Firstly, we wanted to simplify the 'Documents' feature so it's clear it's just a document reference library. Thanks to these changes, we'll be able to expand the Documents features and add more functionality here in time.

Secondly, this was done for the reason of permissions. We felt it was important that Documents and Attachments had different permission levels. This will enable us to allow the person who can create a draft activity to upload Attachments against it, even if they can't edit the Documents.

What do I need to know?

When we launch this feature, your users with a 'Member with Draft Activity' permission add-on, will be able to upload attachments to draft activities even if they don't have 'Member+ with Documents' permission. This is now consistent with all other permissions.
